New ODC Terms
- ODC Terms and Conditions will be updated. Users will be required to agree to the new ODC Terms and Conditions upon their next sign in to continue using the ODC-SCI.
- ODC Data Use Agreement will be updated. Users will be required to agree to the new ODC Data Use Agreement upon their next sign in to continue using the ODC-SCI.
ODC-SCI v1.7 (Release Date: Sept 28, 2021)
Web Portal Appearance and Organization
- Section icons have been added to the navigation menu.
- Manage Lab page: "Change Status" and "Request" DOI buttons have been added to the PI Manage Lab view to improve access to data sharing/publication.
- Individual Dataset page: Control buttons have been updated and realigned. "Data Dictionary" and "Methodology" upload have been integrated under a common "Upload Files" button/menu.
- Individual Dataset page: "Edit dataset info" button has been converted to a action link next to the dataset name.
- Individual Dataset page: "Share to Lab" button has been converted to a action link next to the Data Space Status. The action link will appear as "Change" for PIs/lab managers to directly access the data space menu.
- Individual Dataset page: DOI status is included as part of the dataset status metadata box. PIs/lab managers also have a "Request DOI" button to trigger the DOI process.
- Individual Dataset page: "Metadata Preview" button is removed (can still be accessed from the Metadata Editor).
- Individual Dataset page: Variables without a mapped CDE will now show "CDE mapped: None" on the CDE assignment row. CDE mapping is not required for DOI requests and have been clarified accordingly on the CDE popup.
- Published Dataset landing page: Data files will be organized as (1) Data Package (dataset, dictionary, methodology) (zip), (2) Data Dictionary only (csv), and (3) Supplementary Files (zip).
Reviewer Tokens
- Access tokens can be generated for datasets that have completed the ODC editorial/data curation process. Tokens are intended to provide dataset access to reviewers (or collaborators) before a dataset has been made fully publicly available; a url containing a valid token will direct to a Reviewer-Mode landing page with downloadable dataset files. Each token lasts for 180 days and can be revoked or extended anytime by the PI. The Token menu is accessible for appropriate datasets on the Manage Lab page for PIs/lab managers.
Request DOI checklist
- Request DOI Form has been streamlined. In the new form, PIs must check off that they have completed the required steps (dataset formatted, completed dataset metadata, uploaded data dictionary) in order to submit the DOI request.
Metadata Editor
- During the data upload process, an optional Working Title for Publication field has been added to allow users to provide a publication title to prepopulate the metadata editor field.
- A "Relevant Links" section has been added for the purpose of linking to other repositories containing data from the same subjects. The links can be used for other purposes as needed.
Data Access Metrics
- Datasets that are in the Community Space will track which and when ODC users download the dataset. The usernames and date-of-download will be accessible to the PI through the individual dataset page. The number of times a dataset has been downloaded will be visible to all users. (Datasets in the Personal or Lab space will not show the metric and will not track downloads).
- The number of times downloaded has been added to the landing page for public datasets. The metric will be visible to anyone with access to the public landing page.
Supplementary File Upload
- Supplementary files can be added to datasets. Supplementary file types are limited to csv's, pdf's, and image files (jpg, png, etc). Multiple supplementary files can be uploaded to each dataset.
- Supplementary files will be downloadable on the published dataset landing pages as a separate file link.
ODC-SCI v1.6 (Release Date: May 11, 2021)
Web Portal Appearance and Organization
- "Manage Lab" and "Edit Lab Info" pages have been removed including from the left-hand navigation menu. Both pages/features have been absorbed by the new "Current Lab" page.
- The "Current Lab" page has been updated for lab members, PIs, and lab manager users. The new "Current Lab" page implements the page format from the previous "Manage Lab" page and includes all the PIs/lab manager administrative functions for approving new lab members, promoting lab members, changing data space status, and initiating publication.
- The new "Current Lab" page has a "Edit Lab Info" button for PIs and lab managers to edit the Lab name, Public description, and Lab broadcast message. The Private lab description field has been removed.
- The new "Current Lab" page also includes a new dataset table displaying all datasets uploaded to the corresponding ODC-SCI lab. The table can be sorted by the fields and also filtered for datasets that the user uploaded. Note that datasets in the Personal data space will only appear in the table if the user is the original uploader, the lab PI, or a lab manager.
- The color of section boxes on the "My Dashboard" and "My Datasets" pages have been updated to grey.
Metadata Editor
- "Edit Overview" section has been simplified to "Edit Title". The section is additionally clarified as "Dataset Publication Title" (not to be confused with the name of the dataset as it appears in the ODC prior to publication.
- In the "Abstract", the Data Usage Notes has been renamed as Conclusions.
- A new section for general "Notes" has been added below the "Provenance/Originating Publications" section. "Notes" can be added to include any specific data usage notes, recommendations for analysis, etc.
Data Dictionary Formatting Requirements
- During data dictionary upload, the following quality checks will be performed:
- The data dictionary file must be a csv. An error triggers if the data dictionary is not a csv file.
- The data dictionary file must have all 9 columns required by the ODC (as in the template). The columns can be in any order. The column headers must exactly match (i.e. case sensitive) as per ODC data dictionary requirements. An error triggers if the data dictionary is missing a column.
- Every column name in the associated dataset must be listed under the VariableName column of the data dictionary. I.e. every variable in the dataset must have a corresponding data dictionary entry. An error triggers if the data dictionary is missing a dataset variable.
- Every data dictionary entry (i.e. row) must have at least a value in VariableName, Title, and Description columns. A warning will be triggered if there are missing entries, but the data dictionary upload will complete.
Update Dataset: Append New Data function
- An "Update Data" button has replaced the "Upload New Version" button on individual dataset pages. The "Update Data" process allows users to "Upload New Version" as previous OR "Append Rows".
- The "Append Rows" workflow has been added. Users can add new rows to an existing dataset. The process requires the new data entries to have the same column headers as the existing dataset and adds the new entries directly below the existing data.
ODC-SCI v1.5 (Release Date: January 6, 2021)
Add Data Process
The “Upload New Version” button has replaced the “Add Data” button on individual dataset pages. The process allows users to upload a new version of the dataset and overwrite the existing records. The process will not affect the dataset-associated data dictionary, methodology document, and metadata.
Data Space Workflow
When submitting a DOI request, PIs can provide additional information including “Pending deadlines”, “Any journals involved”, and “Other relevant details” to help contextualize the DOI request.
DOI Request/Dataset Publication Process
While a dataset is under review for publication, the ODC-SCI data team will lock the dataset. A locked dataset (including dataset-associated documentation and metadata) cannot be edited. The ODC-SCI data team will unlock the dataset if changes are required, if the publication process is cancelled, or if an unlock request from the PI is approved.
